Repair ticket software from intake signature to pickup
A paper ticket tells you what came in. A RepairBiz ticket tells you what came in, who touched it, which parts went into it, what the customer agreed to, what's been paid and where the device is sitting right now.
- Signed intake terms
- Before/after photos
- Per-device status
- Warranty rework tracking

How does the repair ticket system work?
Create a ticket with the customer, device, reported issue and estimate. Assign a technician, add parts and labor, update the repair status and track payments through pickup or shipping.
Give customers repair-status accessIntake that protects you later
The disputes that cost you money happen weeks after intake: the customer says the back glass was fine, or that they never agreed to the diagnostic fee. RepairBiz intake captures the device brand, model, IMEI or serial, passcode, and a pre-repair condition checklist, plus photos of the device as it arrived.
Then the customer signs your repair terms on-screen — on the counter tablet or the customer-facing display — and that signature is stored on the ticket with the checklist and photos. If the conversation ever comes up again, the record is right there.
- Device brand, model, IMEI or serial, passcode and condition notes
- Pre-repair checklist covering what worked and what didn't at intake
- Before-repair and after-repair photo sets on the ticket
- On-screen customer signature against your repair policies
- Multiple devices on a single ticket, each with its own status
- Optional required-signature enforcement so intake can't be skipped
Status that everyone can see, including the customer
Tickets move through the states a real shop uses: received, in progress, waiting on parts, ready, completed, picked up — plus scheduled, waiting on device, pending payment, shipped, cancelled and refunded. Warranty work gets its own path with reopen, rework pending and rework completed, so a redo isn't confused with a new sale.
Each change is timestamped and, when you enable notifications, texts or emails the customer automatically. Customers can also check the status themselves on your branded portal, which is what actually reduces the phone calls.
- Full status set including waiting-on-parts, ready and picked-up
- Warranty reopen and rework states kept separate from new jobs
- Per-device statuses when a ticket holds more than one device
- Automatic SMS and email on status change, per customer preference
- Self-service status lookup on your customer portal
- Estimated delivery date and device storage location on the ticket
Parts, labor and payment attached to the job
Add the services you're performing and the parts you're consuming straight onto the ticket. When the job closes, those parts leave your inventory — including the serialized ones, which get marked sold against that customer.
Money works the same way: take a deposit at intake, record partial payments as they come, and see the balance due on the ticket. Estimated pricing is flagged as an estimate so nobody mistakes a quote for a final total, and discounts are recorded rather than quietly typed over the price.
- Services and parts lines with automatic stock deduction on close
- Technician assignment for accountability and analytics
- Deposits, partial payments and running balance due on the ticket
- Estimate flag so quoted totals aren't read as final
- Recorded discount amounts instead of edited prices
- Ticket converts into the POS sale — no double entry
Mail-in repairs handled as a real workflow
If you take work from outside your city, mail-in can't be a note in a comments box. RepairBiz marks a ticket as mail-in and stores the customer's shipping address, the inbound carrier and tracking number, and the return carrier and tracking number.
Customers submit mail-in requests from your portal, you send a quote, and the ticket moves through the same statuses as walk-in work — with the shipping details visible to whoever is packing the box.
- Mail-in flag with full shipping address on the ticket
- Inbound and return carrier plus tracking numbers
- Customer-submitted mail-in requests from your portal
- Quote step before work begins on a mailed-in device
- Shipped status with tracking sent to the customer

Frequently asked questions
Can one ticket cover more than one device?
Yes. You can add additional devices to a ticket, and each one carries its own status so a two-device drop-off doesn't have to be split into separate jobs or held back by the slower repair.
How do customers sign the repair terms?
On-screen at the counter — on a tablet, the customer-facing display, or a signature pad. The signature is stored on the ticket alongside your repair policies, intake photos and condition checklist.
Does a closed ticket update my inventory?
Yes. Parts listed on the ticket are deducted from stock when the job closes, and serialized units are marked sold with the sale date and customer recorded.
How are warranty repairs handled?
They get dedicated statuses — reopen under warranty, rework pending and rework completed — so redo work is tracked and measurable without being counted as new revenue.
Do customers get notified automatically?
If you enable notifications, status changes send SMS and/or email according to each customer's preference on the ticket. Customers can also look up status themselves on your branded portal.
